LOCATION – VAIL VILLAGE & MOUNTAIN PLAZA, VAIL

Stages 1 & 2 of the Colorado Classic, and the event expo, are set against the beautiful backdrop of Mountain Plaza and Vail Village. Stage 1 will be a looped circuit race and Stage 2 will be a point-to-point time trial.

            Men’s Rider Sign-In : 11:15am – 12:15pm

            Women’s Awards : 12:15pm – 12:45pm

            Men’s Awards : 2:45pm – 3:15pm

Friday, August 17 – Stage 2

            Women’s Race : 10:00am – 12:00pm

            Men’s Race : 12:30pm – 2:45pm

            Men’s/Women’s Awards : 2:45pm – 3:15pm

EXPO DATES & HOURS

Wednesday, August 15

Exhibitor Load In : 4:00pm – 9:00pm**

Thursday, August 16

Exhibitor Load In : 6:00am – 8:00am

Expo Open : 9:00am – 4:00pm

Friday, August 17

            Expo Open : 9:00am – 4:00pm

            Exhibitor Load Out : 4:00pm – 6:00pm

**You will be assigned a more specific arrival time within the load in window, as well as a booth number, by August 3rd.  Please contact Laura Badali, at lbadali@rpmeventsgroup.com or (858) 829-2393, in advance, if you need additional time for load in or load out.
 

EXPO NEEDS

Your booth fee covers the use of the expo space, and does not include a tent, furnishings or electricity. Please note any rental items that you may need on your Expo Needs Form. This form was distributed, via email, upon executed contract of your space and the completed form was due July 1st. Please return to Laura Badali at lbadali@rpmeventsgroup.com, ASAP, if you have not already done so.

Please come prepared with extension cords, tent weights (if bringing your own tent), & WiFi Hotspots.
 

LOAD IN DIRECTIONS – Willow Bridge

Take I-70 to exit 176 and head South on Vail Road. Proceed straight through the stop sign at Meadow Drive and continue past the Lodge at Vail. Make a right on Gore Creek Drive toward Checkpoint Charlie, where you will head North on Willow Bridge Road to your activation spot. Please pre-arrange your load in time with Laura Badali at lbadali@rpmeventsgroup.com.

Vehicles may be driven to your booth space for unloading but MUST be moved out of the venue and into parking as soon as you are unloaded. Designated parking will be available upon exiting Vail Village via Village Center Drive. You may return to the venue and continue setting your booth space after your vehicle has been moved.
 

LOAD IN DIRECTIONS – MOUNTAIN PLAZA

Take I-70 to exit 176 and head South on Vail Road. Proceed straight through the stop sign at Meadow Drive and continue until you reach the Mill Creek Tunnel on your right. Enter the Mill Creek Tunnel and drive through to the other end to unload at the Mountain Plaza Gondola Yard. Please pre-arrange your load in time with Laura Badali at lbadali@rpmeventsgroup.com.

Vehicles may be driven to your booth space for unloading but MUST be moved out of the venue and into parking as soon as you are unloaded. Designated parking will be available on Frontage Road. You may return to the venue and continue setting your booth space after your vehicle has been moved.

PARKING

You will need to display a parking pass at all time during load in, load out and during the event. Parking passes will be provided for a designated parking area on the North side of S. Frontage Road, facing West, across from the Vail Transportation Structure.

Parking passes will be distributed upon arrival for load in. Please keep an eye out for a check in point at the entrance of the Mill Creek Tunnel as you enter Vail.
 

BOXES/TRASH

There will be designated areas for trash and recycling to be thrown out during load in and load out. Please be sure to break down your boxes before discarding them – thank you!
 

STORAGE

Your freight and exhibit materials must be stored within your booth. If you have special storage needs, please contact Laura Badali at lbadali@rpmeventsgroup.com, before the expo.
 

SECURITY

Twenty-four-hour security will be provided at the expo, but we cannot guarantee the security of items left in your booth overnight. We suggest that you take small valuables with you at night.
 

INSURANCE

Exhibitors are required to submit their Certificate of Insurance before the expo begins. Exhibitors are required to maintain $1,000,000 Comprehensive Liability Insurance, $1,000,000 Auto Liability Insurance (when applicable) and $1,000,000 Worker’s Compensation Insurance and to name RPM Events Group Colorado LLC as an Additional Insured to the policies.
 

SELLING A PRODUCT

If you are selling products or services onsite, you will be required to purchase a temporary sales tax license, with the Town of Vail, for a $75 fee. You will be required to remit 8.4% sales tax, on your gross sales, to Town of Vail within 30 days of the event.

ADDITIONAL NOTES

If you need to ship items in or out of the Vail expo, please see Shipping Guidelines 

Please ensure that your booth is not left unattended during expo hours.

Please limit all aspects of your activation to your booth space so that you do not interfere with your neighbor’s ability to interact with attendees.

Please do not leaflet or distribute product outside of your booth space.

Only brands with a signed contract may be present at a booth space, unless previously arranged. Any additional branding or partnerships will be removed from the expo grounds or obligated to pay the booth fee for additional brand presence.
